Commitment: 6 total sessions. One 1-hour session per month for 6 months. We will be running two groups in parallel this Fall, allowing for you to choose the time slot that works best for your schedule.

Know to Grow: An Overview

PracticeVital gives you a powerful view into what is happening across your practice. The Know to Grow Program helps you turn that visibility into better decisions, stronger clinical work, more connected clients, and improved financial performance.
 
Over six live sessions, you will learn how to spot opportunities sooner, understand what is working and what may be holding the practice back, support clinician growth, improve client retention, align your team, protect revenue, and make more confident decisions about capacity and growth.
 
Each session starts with an important practice outcome and introduces the PracticeVital information most useful for supporting it. The program is built around four primary ways PracticeVital creates value: understanding practice health, keeping clients connected, supporting clinicians and teams, and maximizing profit and capacity.
 
The goal is not simply to give you more data. It is to help you feel more confident identifying what matters, interpreting what you see, and deciding what to do next.
 

Session 1

Get a Clear Pulse on Your Practice

Focus: See what is working, monitor what is off track, and know where to focus.

How the Program Works

The program includes six 60-minute live sessions, held once per month during your first six months with PracticeVital. Each session helps your practice take one focused, manageable step toward using PracticeVital more confidently and consistently.

SESSION 1:

 

Get a Clear Pulse on Your Practice

 

 

Group 1: Thurs. 9/10, 10am CT 

 

Group 2:  Wed. 9/16, 12pm CT

See what is working, monitor what is off track, and know where to focus.

Learn how to use the practice dashboard as a quick leadership pulse. Review demand, completed sessions, utilization, metrics outside the desired range, insights, and operational concerns in a consistent order.

Participants will learn how to distinguish between something that is working, a metric that should remain on the watch list, and an issue that deserves a closer look. The session also introduces how to move from a practice-wide result to the relevant team, location, clinician, client, appointment, or financial detail.

Key PracticeVital areas: Practice-wide dashboard, insights, team groupings, utilization, retention, churn, rebooking, cancellations, completed sessions, upcoming bookings, and overdue notes.

Practice value: Greater visibility, clearer priorities, faster decisions, and a repeatable Weekly Practice Pulse.

Build a Culture of Clinical Excellence

Help clinicians understand how data supports strong client care, professional growth, and healthier caseloads.

Learn how to introduce PracticeVital in a way that feels constructive and supportive. Use onboarding, supervision, and ongoing team communication to establish shared expectations around client care, rebooking, retention, follow-up, cancellations, and caseload health.

Participants will explore how to help clinicians understand the value of metrics, recognize strong performance, and use PracticeVital as a normal part of professional development.

SESSION 3:

 

Keep Clients Connected and Protect Revenue

 

Group 1: Thurs. 11/12, 10am CT 

 

Group 2:  Wed. 11/18, 12pm CT

Identify clients who may be at risk of disengaging and reduce avoidable disruption of care and loss of revenue.

Use client-level and appointment information to identify clients who may need attention, including those without a future appointment, those with repeated cancellations, and those who may be disengaging early in care.

Learn how PracticeVital can help distinguish between administrative, scheduling, billing, authorization, and clinical follow-up needs—and help ensure that the right person knows when action may be needed.

Key PracticeVital areas: Clients data sheet, retention report, cancellation report, appointments report, rebooking information, clinician and team data, insights, and workflows for organizing follow-up.

Practice value: Better continuity of care, improved client retention, more reliable follow-up, and reduced revenue loss.

SESSION 4:

 

Build Stronger Clinicians and Improve Client Outcomes

Recognize strengths, identify support needs, and bring better information into supervision and leadership decisions.

Use clinician and team information to understand caseload health, utilization, retention, cancellations, rebooking, and other performance patterns.

Participants will learn how to use PracticeVital as a source of insight during supervision, recognize what clinicians are doing well, and identify where additional support may be helpful. The session also explores whether a concern may relate to clinician skill, administrative follow-through, referrals, scheduling, limited availability, client mix, or a broader organizational issue.

Key PracticeVital areas: Clinician data, team information by supervisor, location, or other grouping, retention, cancellations, utilization, clients data sheet, and insights.

Practice value: Better supervision, stronger clinician development, more confident leaders, and earlier identification of support needs.

SESSION 5:

 

Align Your Team and Drive Accountability

 

Group 1: Thurs. 1/14, 10am CT 

 

Group 2:  Wed. 1/20, 12pm CT

Create clearer expectations, strengthen follow-through, and make strong performance more visible.

Explore how PracticeVital can help owners, clinical leaders, supervisors, clinicians, and administrative staff work toward shared practice goals.

Participants will learn how to connect practice priorities to a small number of meaningful role-specific expectations, review performance more consistently, recognize high performers, and move from clarification and support toward stronger accountability when problems persist.

The session will also introduce principles for using PracticeVital to inform promotions, merit increases, bonuses, incentives, or other forms of recognition.

Key PracticeVital areas: Practice-wide dashboard, team and clinician data, client information, workflows, retention, cancellations, utilization, appointments, revenue, and payroll information where relevant.

Practice value: Greater role clarity, stronger alignment, more consistent follow-through, more intentional promotions, and better recognition of results.

SESSION 6:

 

Maximize Profit and Capacity

 

Group 1: Thurs. 2/11, 10am CT 

 

Group 2:  Wed. 2/17, 12pm CT

Understand what is driving financial performance and identify opportunities to increase profitability, use capacity more effectively, and make smarter growth decisions.

Use PracticeVital to investigate important financial and operational questions, including:

  • Are we completing enough sessions to meet our goals?

  • Where do we have unused clinician capacity?

  • Are cancellations or scheduling gaps affecting revenue?

  • Are there completed appointments with missing or unexpected payments?

  • Are late-cancellation fees being waived more often than intended?

  • Has average revenue per session changed?

  • Which teams, services, locations, or clinicians are contributing most to performance?

  • What is the lifetime value of a client or clinician?

  • Do we have enough demand to hire or expand?

  • How can PracticeVital help to develop smarter compensation plans?

Participants will learn how to connect appointment activity, utilization, cancellations, reimbursement, payroll, and revenue trends to more intentional decisions about referrals, hiring, compensation, forecasting, and growth.
